How we use your personal information
Hillcrest consists of four companies – Hillcrest Homes, Hillcrest Futures, Hillcrest Enterprises and Hillcrest Maintenance. Each company is a data controller for the purposes of the Data Protection legislation and is registered with the Information Commissioner’s Office (ICO).
The majority of this privacy notice provides general information about Hillcrest’s processing of personal data. Where required, specific information will be provided at the point we collect information from you.

Information relating to the processing of complaints
Any information you provide will be used for the purpose of investigating and responding to your complaint. This may also include the details of any other individuals referred to in the complaint. This information is necessary in order to fulfil legal obligations we have as a registered social landlord and a support provider. Where not under a legal obligation, it is in our legitimate interests to investigate and respond to complaints. This information may be shared with external regulators such as the Scottish Public Services Ombudsman and the Care Inspectorate if the complaint is reported to them.
Information relating to the processing of insurance claims
Any information you provide will be used for the purpose of processing insurance claims. This information is necessary in order to fulfil legal obligations we have as an employer. Additionally, it is in our legitimate interests to protect our assets so it is necessary for us to process insurance claims to protect these interests. This information may be shared with our insurance broker, insurance companies, solicitors and loss adjusters.
Information relating to the processing of MP/MSP/Councillor enquiries
Any information provided by your representative will be used for the purpose of responding to their enquiry. It is in our legitimate interests to respond to issues raised by MPs, MSPs and Councillors on behalf of their constituents. Where you have given a representative consent to raise an issue on your behalf, we will share information with your representative.

What is an environmental sensor?
An environmental sensor is a device that sits in a property and measures data such as temperature and air humidity. It can alert us if there is a risk of condensation, damp or mould developing, as well as other indoor environmental risks. This is important as our living conditions can dramatically affect our safety, health and wellbeing.
Why are we installing environmental sensors in our properties?
We are installing these sensors to help us prevent indoor environmental risks such as condensation, damp or mould developing in our properties. By the time you see mould, it is very difficult to stop it. Environmental sensors can warn us well ahead of time that a property is at risk, allowing us to work with you to prevent this happening. They will also provide valuable insights into how you can keep your home free from environmental risks.
What will we do with the data?
The data will be sent to the manufacturer’s database for Hillcrest’s use only. The data will be stored against your address and tenancy start date, but we will not provide the manufacturer with your name or other identifying details. If you wish, you can share your email address with the manufacturer in order to access an app that gives you personalised insights into keeping your indoor environment safe.
We will access your data if we need to assist you in preventing environmental risks. This may be because your data has triggered an alert for us to act, or because you have approached us for assistance with your household energy and environment. We will also sometimes carry out analysis of all our properties’ data, in order to understand where we need to focus our efforts to improve the quality of our property stock.
